TERMS & CONDITIONS
The framework that protects your journey and our partnership.
1. BOOKING & RETAINER
A non-refundable retainer of 30% of the total tour price is required to secure your reservation. This retainer compensates ARTOURS (Loving Italy) for the professional time required to design your itinerary and the blocking of our calendar dates, preventing us from accepting other clients for that period.
The remaining balance is due no later than 60 days prior to the start of the tour. Bookings made within 60 days of departure require full payment at the time of booking.
2. PAYMENTS
- a) Currency: All prices are quoted in Euros (€).
- b) Bank Transfers: Payments exceeding €500 should be made via bank transfer. Clients are responsible for all wire transfer fees (sending and receiving). Please add €40 to cover international receiving fees if not selecting the “OUR” instruction code.
- c) Late Payments: Failure to pay the balance by the due date may be treated as a cancellation by the client, subject to the forfeiture terms below.
3. CANCELLATIONS & FORFEITURE
Cancellations must be received in writing. Refunds are calculated based on the date of receipt:
- 61+ days prior: Forfeiture of Retainer (30%).
- 60–46 days prior: 50% of total tour price.
- 45–31 days prior: 75% of total tour price.
- 30 days or less: 100% of total tour price (No Refund).
Note: No refunds will be issued for missed meals, transfers, or unused hotel nights once the tour has commenced.
4. FORCE MAJEURE
ARTOURS (Loving Italy) assumes no liability for cancellations or delays due to Force Majeure (events beyond our control, including but not limited to: natural disasters, strikes, war, pandemics, or flight cancellations). In such cases, we will refund all recoverable costs. Unrecoverable retainers paid to third parties (villas, special access) may be issued as a credit for future travel, subject to the third party’s terms.
5. TRAVEL INSURANCE
Comprehensive Travel Insurance (including Trip Cancellation, Medical, and Repatriation) is strongly required. Given our strict cancellation policy and the non-refundable nature of the retainer, we advise a “Cancel for Any Reason” (CFAR) policy. You assume full financial responsibility for any cancellations or medical emergencies if you choose to travel without insurance.
6. RESPONSIBILITY & LIABILITY
a) Intermediary Role: ARTOURS (Loving Italy) acts as an intermediary for third-party suppliers (hotels, drivers). We are not liable for their acts or omissions.
b) Mobility: Clients must disclose any mobility issues at booking. Italy presents uneven terrain. We reserve the right to decline acceptance if the itinerary is physically unsuitable for a guest.
c) Conduct: We reserve the right to remove any guest from the tour, without refund, if their behavior is disruptive, abusive, or endangers the safety or enjoyment of the group or hosts.
7. CHANGES TO ITINERARY
a) Substitution: We reserve the right to substitute accommodations of equal or greater value if necessary due to supplier overbooking or operational issues.
b) Flexibility: As an Owner-Led journey, we reserve the right to alter the itinerary for the comfort and safety of the group (e.g., changing a route due to weather).
8. PHOTOGRAPHY RELEASE
As part of our “Editorial Lens” service, we may capture photography or video during the trip for use in our portfolio. By participating, you grant us permission to use these images. If you prefer total privacy, please notify us in writing prior to travel.
9. JURISDICTION
Contracts with ARTOURS (Loving Italy) are governed by Italian law. Any disputes shall be subject to the exclusive jurisdiction of the Courts of Italy. Written notice of any dispute must be provided within 14 days of the service provision.
10. DATA & PRIVACY
We respect your privacy in accordance with GDPR. Your personal data (passport info, dietary needs) is shared only with necessary service providers (hotels for registration, restaurants for allergies) and is never sold.
